STANDING COMMITTEES

Chairpersons of Standing Committees

The President is considered an ex-officio member of all committees and should be copied on committee meeting agenda and minutes.

The duties of the chairpersons of the below-designated standing committees shall be to appoint club members as indicated on their membership applications to their respective committees. Chairpersons of these standing committees will be selected from the Board of Directors immediately following the annual meeting and shall serve for one full year.

The Chairperson of each standing committee shall:

  1. Ensure that the responsibilities of their respective committees are executed
  2. Prepare an agenda for meetings which shall be circulated to the committee members and President no less than one week prior to the scheduled meeting
  3. Submit an annual report to the President and Board of Directors no less than one week prior to the annual meeting which details achievements, outcomes, and plans for the upcoming year
  4. Submit an annual plan with goals, objectives, and timeline for completion
  5. Have motion and voting privileges.


Standing committees should meet at least twice a year and as needed and should maintain minutes that detail any meetings.

Ad hoc committees may be established by the President or the Board of Directors, as necessary. These ad hoc committees are self-limiting to the task assigned and have a specific time period for the completion of the task. At the end of the task and/or time, these committees are automatically dissolved.

The following committees describe the duties that the committee is responsible and the skills that are needed and desired. NOTE: members do not need to display ALL the skills needed in the list, just the desire to learn more about those areas that are included and to participate in the committee’s responsibilities.

Membership, Recruitment, and Retention Committee
(1 chairperson, 1 assistant chair)

DUTIES:

  1. Manage and coordinate rowing programs (i.e., LTR, Evening, Morning, Junior, etc.)
  2. Target current members for continued membership at appropriate levels
  3. Target other community members, stakeholders, legislators, key township administrators, etc. for LTR or other membership options
  4. Design and initiate strategies for the retention of existing members
  5. Coordinate member volunteer commitment to committees
  6. Assist the Social Committee in planning and implementing activities to enhance the membership experience or membership recruitment and retention

SKILLS NEEDED: detail-oriented, organized, interest in and desire to work with members at various program levels

Publicity, Public Relations, and Community Involvement Committee
(1 chairperson)

DUTIES:

  1. Ensure in-house communication related to vision, achievements, outcomes, events, and long-range plans (i.e., newsletter, bulletin board, etc.)
  2. Ensure external communication related to vision, achievements, outcomes, events, and long-range plans (i.e., media contact, newspaper articles, pictures, etc.)
  3. Create and maintain relationships with the media and stakeholders

SKILLS NEEDED: good written, verbal communication skills including email, newsletters, bulletin boards; interest in and desire to work with both internal and external stakeholders including members and various media outlets, universities, government officials, and community organizations

Safety and Equipment Committee
(1 chairperson, 1 assistant chair)

DUTIES:

  1. Ensure the safety of persons and equipment on-land and on-the-water
  2. Develop and monitor safety rules for the boathouse, water, and equipment use and handling.
  3. Ensure daily, weekly, and monthly maintenance tasks and duties with respect to the boathouse, boats, equipment, and common areas.

SKILLS NEEDED: interest in and desire to work with equipment, rigging, launches, and common boathouse areas; available to oversee and manage maintenance of said equipment as needed

Historian, Archivist, and Web Site Development and Maintenance Committee
(1 chairperson)

DUTIES:

  1. Collect and maintain history of the club and equipment
  2. Promote appropriate archival of materials and documents so that a history can be maintained
  3. Maintain and expand the CPRA website

SKILLS NEEDED: detail oriented; good communication skills including email; interest in and desire to learn more about website maintenance

Fundraising and Grants Committee
(1 chairperson)

DUTIES:

  1. Develop, implement, and evaluate fundraising plans to ensure equipment maintenance and purchase
  2. Initiate and manage grant applications to support activities, events, or programs
  3. Order, manage, and maintain CPRA merchandise and racing uniforms or apparel.

SKILLS NEEDED: detail oriented; able to manage money (income and expenses) and merchandise ordering and receiving; excellent written communication skills; sound database and/or search skills for grant possibilities; desire and interest in learning more about grants and fundraising

Regatta, Special Events, and Activities Committee
(1 chairperson)

DUTIES:

  1. Plan, implement, and evaluate any special events and activities
  2. Plan, implement, and evaluate Cardboard regatta (second weekend in August)
  3. Plan, implement, and evaluate rowing regatta (fall head race in conjunction with Bucknell University)

SKILLS NEEDED: detail-oriented and organized; desire to learn more about planning and organizing a regatta or cardboard race; good written and verbal communication skills including phone, email, and letter; desire to work with members and stakeholders including community businesses and organizations, universities, and local governmental bodies.

Social Committee
(1 chairperson)

DUTIES:

  1. Organize social time after Thursday evening rows
  2. Organize graduation ceremonies for LTR and juniors
  3. Organize and plan celebrations of members’ transitions (from one level to another; achievements)
  4. Plan, implement, and evaluate activities or experiences to enhance the member

SKILLS NEEDED: enjoys organizing and planning for social events; desire to include all members and stakeholders in events and activities that highlight our mission or enhance the club members’ experiences
